Privacy and cookies

What personal data kaiinos.ai collects, why, who processes it and what your rights are.

Who we are

This website is run by Kaiinos AI Labs BV, Prinses Margrietplantsoen 33, 2595 AM The Hague, the Netherlands. We are the controller of the personal data described on this page. For any privacy question or request, email hello@kaiinos.ai.

What we collect and why

We only collect personal data in three situations.

  • Contact form. When you send an enquiry we receive your name, work email, company, the topic you chose and your message. We use these details to reply to you and to follow up on your enquiry. The legal basis is your consent, which you give with the checkbox on the form, and our legitimate interest in answering business enquiries.
  • Email. If you email us directly, we receive your email address and whatever you include in the message, and use it to reply.
  • Analytics, only if you accept. If you click Accept all in the cookie banner, Google Analytics records how the site is used, such as pages viewed, approximate location at country or city level, device and browser type, and how you arrived. The legal basis is your consent. If you click Reject all, or make no choice, Google Analytics is not loaded at all.

Our hosting provider also processes technical data such as IP addresses in server logs, which is needed to deliver the website securely. We do not sell personal data and we do not use it for advertising.

Cookies and analytics

kaiinos.ai sets no cookies until you make a choice. Fonts are served from our own domain, so no font requests go to third parties.

Who processes data for us

We use a small number of service providers who process personal data on our behalf, under agreements that restrict their use of it.

  • Vercel Inc., which hosts this website.
  • Formspree Inc., which receives contact form submissions and forwards them to us.
  • Google Ireland Limited and Google LLC, which provide Google Analytics, only if you accept.

Some of these providers are based in the United States, so personal data may be transferred outside the European Economic Area. Where that happens, we rely on the safeguards the GDPR allows for such transfers, such as the EU-US Data Privacy Framework or the European Commission's standard contractual clauses.

How long we keep data

  • Enquiries and email: as long as needed to handle your enquiry and any business relationship that follows, and no longer than two years after our last contact, unless the law requires us to keep it longer.
  • Google Analytics: event data is kept for the retention period set in our Google Analytics account and then deleted automatically. Reports only show aggregated data.

Your rights

Under the GDPR you have the right to access the personal data we hold about you, to have it corrected or deleted, to restrict or object to its processing, and to receive it in a portable format. Where we rely on your consent, you can withdraw it at any time; this does not affect processing that took place before.

To use any of these rights, email hello@kaiinos.ai. We will reply within one month. If you are not satisfied with how we handle your data, you can complain to the Dutch data protection authority, the Autoriteit Persoonsgegevens, or to the authority in your own EU country.

Changes to this page

We will update this page when the way we handle personal data changes. The date at the top shows when it was last updated.
